Privacy at Trawla.

Who we are & what this covers

Trawla is a B2B prospecting and sales-intelligence tool for UK sales teams. We help businesses find the right companies to talk to and reach the right person there at the right time. This notice explains, in plain English, how we handle personal data when we do that.

The information we process

We work with business contact details of decision-makers at UK companies — the people who'd be the right point of contact for a relevant offer. In practice that means:

  • name and job title;
  • work email and work phone number;
  • professional profile (the kind of detail a person publishes about their working role);
  • company-level business information about the organisation they work for.

This is professional, business-context information — the sort of detail people share so that other businesses can reach them at work. It is not consumer data, and we don't go looking for anyone's private life. Where a data partner also supplies a personal email address or mobile number, we keep that too and treat it exactly like the work details: it is used only to reach you in your working role about your company, every UK number is screened against the TPS and CTPS before a sales team sees it, and you can object at any time.

Where it comes from

We build this picture from public business registers and records and from specialist licensed data partners who supply business contact information under their own terms. We don't collect this information directly from you, which is why we set out plainly here what we hold and where it comes from.

Why we process it (lawful basis)

Our lawful basis is legitimate interests. The interest is a straightforward one: helping UK businesses reach other businesses with a relevant, well-timed offer — which is good for the sales team using Trawla and, when the offer genuinely fits, useful to the company on the receiving end too.

We've weighed that against the interests of the people whose details we process, and we think the balance holds because:

  • we only use professional contact details in a business context — never private, consumer-level information;
  • the point is a relevant B2B offer aimed at the right role, not untargeted bulk contact;
  • and there's an easy way to opt out at any time, which we honour (see your rights, below).

Cookies & tracking

We use three kinds of storage. The first is what's strictly necessary to run the site and the app.

The second is analytics. We measure the site ourselves. Two first-party cookies identify a visit and a returning browser, and our own servers record the pages viewed, the actions taken and the campaign a visit arrived from, along with the IP address, browser and approximate location of the request. We keep the full IP address because it tells us which company a visit came from — this is a business-to-business site and that is what we use it for. If you book a demo or send us a message, we link that activity to your enquiry, and we keep what you wrote with it, so we can prepare for the call.

If you decline, we set no cookies and store nothing that identifies you or your browser. The page view is still counted, with no identifier attached to it.

The third is advertising. We advertise on LinkedIn and use the LinkedIn Insight Tag on this site. It sets LinkedIn cookies in your browser. It tells us which visits came from our ads, and which kinds of company and job role are reading the site — as counts, not named people. It also lets LinkedIn show you our ads again after you've visited.

LinkedIn decides for itself what else it does with what the tag collects, so its own privacy policy applies alongside this one. You can turn off ad targeting for every advertiser in your LinkedIn advertising settings, or block the tag in your browser. The site works either way.

The choice you make on the cookie banner covers what runs in your browser. It does not cover a form you send us. When you book a demo or send us a message, we use the details you give and share them with LinkedIn — your email address as a scrambled code, not as text — so we can tell which of our ads led to the enquiry. That happens whichever way you answered the banner.

We don't sell your data, and we don't share it with anyone beyond what's set out here. To have your analytics data removed, emailprivacy@trawla.net.

How long we keep it

We keep personal data only for as long as it serves the purpose we collected it for — no longer. In practice that means two things. We hold your business contact details as a single record for as long as they stay accurate and useful for putting a dealer in touch with the right person at a company. A dealer that has looked you up keeps its own copy in its contact book for as long as its Trawla subscription lasts; when the subscription ends, that copy is deleted along with the rest of its account. If you object, we delete the contact details we bought — from our record and from every dealer's copy — and add you to the suppression record described below so they stay gone.

The one thing we keep indefinitely is a minimal suppression record — a scrambled (hashed) version of the contact details of someone who has opted out, never the details themselves — just enough to recognise them so that we don't contact them again. Keeping that small record is the only reliable way to honour an opt-out.

Your rights

You have the right to ask us to access the personal data we hold about you, to have it corrected orerased, and to object to our using it. You can also simply ask us to stop contacting you.

To exercise any of these, email privacy@trawla.net and we'll deal with it promptly. Whatever you ask — to be removed, to stop being contacted, or to have your details deleted, corrected or restricted — we do the same thing: we delete the contact details we bought about you from our record and from every customer's copy, and we add you to our suppression record and keep you suppressed, so an opt-out stays an opt-out. A sales team that never looked you up cannot see that you exist. One that had already added you keeps its own record: anything it typed in itself stays there, but every way of contacting you on that record is blocked, and it sees a notice that your request has been honoured and that nothing on the record may be used. We don't correct bought contact details; removing them is how we meet a correction request, and we'll tell you that in our reply.

If you're unhappy with how we've handled your information, complain to us first: email privacy@trawla.net or use the message form on our contact page. We acknowledge every complaint within 30 days and tell you the outcome. You can also complain to the ICO at ico.org.uk at any time.

International transfers

Some of our data partners may process information outside the UK. Where that happens, it's done under appropriate safeguards— the recognised legal protections that keep your data covered to UK standards wherever it's handled.

Changes & contact
